TERMS & CONDITIONS *

"Event" means the event(s) for which you have expressed an interest in performing at, specifically the Christmas Fair 2025. "HSCA", "us" or “Organisers” means the Hook Schools Community Association, a charity incorporated in England and Wales, charity number 281872; its trustees, events team and contractors. "Terms and Conditions" means these terms and conditions. "You" or “Performers” means you as the performer and "Your" shall be read accordingly. 1. Performers have been allocated 30 minute performance slots. As all the slots are full, it is important we run on time. 2. Please ensure your group meets in Flamingo class in plenty of time in advance of your performance slot to allow for any changing or briefing required. 3. Flamingo class will be off-limits to the public, but we cannot take responsibility for items left in the room while you are performing. As other groups will be using the space while you are performing, please ensure your items are left tidily and any valuables are with a responsible person. 4. The preferred route from Flamingo class to the performance hall is a short distance (approx 10m) outside, and so we recommend all performers wear shoes. If this is not possible, the alternative route will be through the school corridors which may be crowded. 5. Parking is not available within the school sites, you will need to park either in Church View, or in Hartlett's park. If parking in Church View please respect parking restrictions and do not block driveways. 6. The event opens at 11:00. For the first group performing, entry should be via the Infant School, following signage around to the right of the school office and to the Flamingo class door. Other groups may either come from within the event, or likewise through the Flamingo class external door. 7. Electrical power may be available, however any electrical items must be declared to the HSCA and must be PAT tested within the last 12 months. 8. You are fully responsible and liable for your own performance and participating performers. You must have the relevant insurances required to cover yourselves and third parties should this be required. You will need your own public liability insurance for the event, please provide a copy of your public liability insurance certificate (as required by our own insurer). Any school or voluntary groups, i.e. those that are not registered business, or sole trader, whose income does not exceed £1,000 per annum, are not required to have Public Liability Proof (PLI). 9. There is no smoking or vaping anywhere on the school site (inside or outside). 10. Dogs are not permitted on the school site (except registered assistance dogs). 11. The Organisers and its agents shall not in any way, unless legally liable, be responsible for: any claim for compensation or otherwise due to the holding of goods associated with the event, or anything else arising out of or in connection with the event; any accident that may occur, or for the death, injury, disease or loss arising from an accident at the event; any loss or damage whatsoever arising from abandonment, cancellation and any such eventuality. 12. Tanya is your primary Hook Schools Community Association contact on the day. 13. Failure on behalf of the Performer to abide by any of these conditions may be regarded as a breach of contract and as a result, asked to either not attend or to leave the Event site. 14. The organisers decisions on all matters is final. 15. These conditions are guidelines for Performers and may be supplemented or amended at the discretion of the Organisers without prior notice.
